For group leaders
Group Tour FAQs
Practical answers for school, club and team leaders taking a group on a Sporta sports tour, from collecting traveller details to the day you check in at the airport.
Planning and party details
How will I collect passport information for the tour party?
We have an intelligent portal that will make collecting passport information from the tour party easy and hopefully mistake free. In the past, collecting passport names manually has meant mistakes with names that can be costly at the airport if not caught early, even resulting in brand new tickets having to be purchased at the airport. To help solve this problem our portal can help take the stress away from the group leader and allows the parents to add their own child’s details. All you need to do is add the parents' emails to our portal and it will send a link. Full information will be shared with you via your Tour Coordinator.
What if I still need my Tour Party’s information on a spreadsheet?
We can do this for you, our portal will allow us to download an excel that includes all of the dietary and important information that the parents have added for their child. Hopefully saving you a job.
Can we increase or decrease tour members?
Your Booking Confirmation and Invoice will state how many people you have booked for. It is really important that any changes to the tour party are updated with us so that we can explore if this is possible or not. Adding extra students to a trip can carry an additional cost on top of what the other party members are paying, this is especially the case for groups travelling by air because as flights fill up airlines charge more per seat. Please discuss any changes to the tour party with your Tour Coordinator before confirming with the parents/student.
Can you help with our Risk Assessment?
Yes, we can provide check lists with information on hotels, transport providers, and excursion providers when needed. These should contain all of the information that you need to complete your risk assessment. If you need any additional information we can always provide this. Please discuss with your Tour Coordinator as soon as possible to avoid it being last minute.
Before you travel
Who should I contact with a query post booking my tour?
When you book a tour with Sporta you will be assigned a Tour Coordinator who will be a member of the Operations team. Details on how to contact them will be in your welcome pack. Your sales contact will still be involved as and when needed.
Do we need travel insurance?
Yes, it is a condition that when booking with us you must have travel insurance in place from when the deposit is paid.
Can you help with Visa’s?
We do not handle these directly but we have partnered with The Visa Orchestrator who will be happy to help. Please discuss with your Tour Co-ordinator who can refer you.
When will I receive our final Tour Pack?
You will receive a full Tour Pack that includes everything that you need to travel including the Final Itinerary 1-2 weeks before you are due to depart although sometimes it can be later depending on final details.
When will fixtures be confirmed?
We always try to have fixtures confirmed 4 weeks before departure although sometimes this can be later as we are reliant on teachers and coaches around the world.
Can we deviate flights that are part of a group booking?
Deviations are possible up to 6 months before travel. Please don’t ask parents to contact us directly as we will refer them back to you. This is to avoid changes happening without the school’s permission.
Travel, food and health
Will someone assist me at the airport when we check-in?
Yes, you will be met by an experienced Sporta check-in assistant who will help you every step of the way from arrival to security.
Can you cater for dietary requirements?
Yes, we have a wealth of experience in handling a range of dietary needs. Our online portal has a section for adding Dietary and Additional information and this information is pulled directly into your rooming list and passenger list so that everyone that comes into contact with the group will have easy access to this information. We will always work with you to provide alternative food when necessary.
How about allergies when flying?
When flying unfortunately most airlines will not guarantee allergen free food or environments (for airborne allergies). We will always pass the information to the airline and your check-in assistant will also highlight this with them but we ask that the group leader does the following: -Ask the student to purchase their own food in the airport if the flight menu is not suitable -Make the airline staff aware when you board -Move the student/s with allergies to sit close to staff after boarding.
Still have a question?
Tell us about your group and the specialist for your sport will be in touch.
